Plan for your guest experience in mind!
You are planning your party your guests are the most important part of the event and they will make next years event
successful if this year is done right! What are you doing to make their experience better? I have come across some things
while performing that I hope help you make your event better!
Center Pieces
So you have found the most amazing tree, flower arrangement, tower, or candles, etc. to go on the center of your table.
Looks beautiful both from near and far.... and your guest have to look around each one to see the stage because it blocks
their view. Guests now look like chickens playing peek a boo behind a post to see the show. Or trying to be a giraffe to look
over it, they could even stand to see then unknowingly making themselves a great door for those behind. Having
entertainment means that for your guests you may want to change the height of the center pieces and find something
equally as beautiful that doesn't take away from the event. (even at a wedding the bride might not be seen :(
Sound System?
What type of sound system does the venue have? Or will your entertainment provide one? Oh you mean to say that for the
200 person event the venue doesn't have a sound system? A person could project I suppose for the hour they are
performing I am sure people would love straining to hear. Or the system is so old it still has an 8 track player nothing will
plug into that (I am sure that everyone puts their music on archaic cassette in these digital days). Depending on your
agreement with your entertainer you will either have to suply and rent one or your entertainment will be able to bring
their own, I know I do. That way if the house sound system isn't compatible with your entertainers microphones and music
they are ready to perform regardless. Things your entertainer will need to know is number of people in attendance so they
can bring an appropriate system. And you will need to know what type of system the venue has, and if it is in fact able to
accept either ¼ inch or xlr plug ins and how many! Hearing is another huge part of enjoying the show. Unless the guy you
got is a mime.
Time line
Timeline is also important. Ie Background musician playing 5:30-7:15 Cocktails @ 5:30, Supper @ 6:30, Entertainment @
7:30 Having background music over dinner is a fantastic addition to the event. Having a show where the performer is
bringing people up as volunteers while they are eating is best suited for before or after eating is finished. Do you want to
be called up with a mouth full of food? In order for your guests to enjoy the wonderful meal that you brought in from the
most recommended caterer in city/town/metropolis, you don't want them to be distracted by having them pay attention
to a show. Just notice that when you are enjoying eating how you focus more on chewing and the flavor than the others
around, and the conversation grinds to a halt when the food comes as people just want to enjoy their meals. Now splitting
their focus can be done… but it isn't ideal for your guests which is why as above stated background music is perfect for
meal time. Also when will your entertainer set up? While people are there? or before? Me personally I like doing it before
that way my mics and music aren’t bothering anyone! Also don’t stress about your time line too much! Unless the food
hasn’t arrived and people are getting anxious to eat, they will mingle and be happy with your well planned and thought
out event!
